Interview with Miss Nisa, an employee in Flexi Global Logistic Company using Google Meet 


BACKGROUND 

Alya: Since when Flexi has been established? 

Miss Nisa: Since 2014 with name Transferable Logistic, but we change the name to Flexi Global Logistic on 2020. 

Alya: Who is the founder and CEO of the company?

Miss Nisa: The CEO is Khairoslan bin Muhamad. 

Alya: How many workers are they in the company?

Miss Nisa: We have 4 workers which is Madam Nazira who manage acc admin. Next is Johan, an operation supervisor in custom section and lastly Linda and Nisa, managing the office.

Alya: What is the vision and mission of the company?

Miss Nisa: Our company goal is to expand market until our service be known globally.

Alya: What is the platform use by Flexi Company to promote the service?

Miss Nisa: Flexi Company doesn't have any website or other social media to promote the service. We usuallt will directly meet or contact a customer.

INVENTORY AND WAREHOUSE 

 

Fatin: What type of goods does Flexi handle?


Miss Nisa: Flexi handle many kinds of goods. For example, we handle fertilizers, foods, electronic products and goods that is related to the business. Flexi also import and export the goods.

 

Husna: What equipment does Flexi used in handling the goods?


Miss Nisa: Equipment that Flexi use are lorries, forklifts, cranes, 4X4 and others. We usually rent to the transportation company as we do not own it ourselves. Forklift for heavy goods, crane at customs area. Other than that would be, trucks that is used for side loader container. For road we use cars, trucks, lorries and 4X4.

 

Fatin: Where does Flexi store their customers goods?


Miss Nisa: All the goods will be stored in warehouse. Flexi does not own a warehouse so, we usually just rent a warehouse as a third party for the customers. But if the customers have their own warehouse, then the goods will be kept at their own warehouse.


 

 STRATEGIES AND PLANNING 


Fatin: What is short term and long term strategies and planning for Flexi company?


Miss Nisa: Firstly, for Flexi’s long term strategies and planning our company want to expand our market area globally so that Flexi can gain more customers and can compete with international competitors. Next, since Flexi company only available in Johor, so our company is planning to open new branch at other state in Malaysia. We want to make sure many people will recognise Flexi company and use Flexi’s services.


For Flexi’s short term strategies and planning, we want to have our own platform to interact with our customers such as website and Flexi apps. The purpose of the website and the app is to provide excellent services to our customers such as the customers can contact Flexi company easily, can track their goods and know more about Flexi company.



PURCHASING AND ORDER PROCESSING 


Auni: What kind of service that Flexi Company provided to customer?


Miss Nisa: Flexi Company provided service like multi-mode of transport air, ocean and road from Malaysia to neighbour country. We also provided service warehousing, container, lost cargo, clearance and insurance. 


Auni: What is the process of customer buy service from Flexi Company?


Miss Nisa: The first process for the customer to order the service is customer usually will call first to ask if they provide the service. And then customer will email Flexi Company about the service. And then Flexi 's will discuss and come to an agreement with customer. After that then they will provide the services to customer.


Husna: What is the rate price for the services?


Miss Nisa: The service rate using 20 ft container can reach from RM7,000 until RM8,000 while for 40 ft container it can reach until RM12,000. For air freight, the price can be up until RM40,000. To rent a warehouse, they will rent warehouse in customer. The price range is depend on the types of goods and space needed. For example, Flexi rent a warehouse in PTP, the estimate price is RM560 for small space.


Husna: Can Flexi Company provided services that they doesn't offer?


Miss Nisa: Yes, we can provide because we are a 3rd party. For example, if customer doesn't have a lorry to carry goods, they will arrange by renting a lorry for the customer. 



INFORMATION TECHNOLOGY 


Husna : what technology that Flexi company use to track customer’s goods?


Miss Nisa : Flexi company use shipping line website to track customer’s goods. if the shipping line don’t have any website, they will contact the agent directly to get information about the goods.


Auni: How Flexi company improve their communication between customer?


Miss Nisa : We try many method to improve communication and find out that the best method is through phone call. This way can keep customers to continue using our services



INFORMATION TECHNOLOGY

     If shipping line use by customer have a website, Flexi company will track customer’s goods through the shipping line website. but if the shipping line doesn’t have a website, they will drop email to contact agent to find out where the item is located. they also can track the goods by custom system.


    Flexi company choose the best way to improve their communicate with their customer. since they operate, they try many communication strategy to determine which method is the best. The best method of communication that the Flexi company is make a phone call with customer. Customers do not need to take a long time to wait a respond from Flexi company. this is because some customers are impatient to wait for a response to their questions. Flexi company also makes phone calls to inquire about the condition of their customer’s goods that delivered to the destination. so customers will feel that Flexi company is a company that is concerned with customer goods. this way will be able to attract customers to use their services again and they will be a loyal customer to Flexi company. Flexi company believes if they maintain good communication within the customer, can make a good impression on Flexi company.

PURCHASING AND PROCESS ORDER

     To purchase the service, customer need to make the order at least one week earlier before the delivery date for road freight. As for sea freight customer has to make the order at least 30 days before the delivery date. Customer need to do so because Flexi need to ensure if there is any space / slot available in the ship. 

    Since Flexi company don't have website, the first process for the customer to order the service is by email or through call direct to Flexi office. Next, customer will email the detail of the service that they wanted to Flexi company. And then Flexi 's will discuss and come to an agreement with customer. After that then they will provide the services to customer.    

    Customer has 13 days to settle their payment to Flexi Company. Besides that, customer and Flexi has to be alert with closing date as customer need to send the goods to Flexi one week or 5 days prior shipment date so that Flexi can loading the goods. It is because to ensure that they doesn't missed the shipment date. If customer late sending the good or missed any step in completing to pay the service and document, they will be charged twice the normal price thus automatically missed the shipment. When customer missed their shipment, they have to wait for another shipment and pay again.

       The service rate using 20 ft container can reach from RM7,000 until RM8,000 while for 40 ft container it can reach until RM12,000. For air freight, the price can be up until RM40,000. INVENTORY AND WAREHOUSE




    They would arrange all the works and documents needed to deliver the goods. For example, goods that will be delivered using sea transportation, Flexi will manage and arrange the transportation such as truck, forklift, crane and side loader container from the customers place until it arrives at the offshore. Then as soon as the goods arrive at the offshore, the goods will be transferred to customs. Paper works within customs and ship agent were all managed by Flexi. In short, Flexi will manage all the process of the goods from the customer to the delivery place. 

 

    Flexi also has SOP in handling their goods. Different type of goods has different type of SOP. As for the general cargo, the SOP of it is not that strict as it will depend on customers per request. While the SOP for dangerous goods delivered by air transportation will have more paper works as Flexi need to make permit, insurance, and others. In order to deliver the dangerous goods, the packaging also needs to be extra secure. For example, the goods need to be packed in a box or aluminium box

The CEO of this company is Khairoslan bin Muhamad. Besides that, there are a few positions in the company which is acc admin, Madam Nazira, operation supervisor, Johan, custom, Linda and Nisa. Flexi have evolved from a traditional International and domestic freight forwarder and custom agent to a leading global complete logistics provider with the wide range of services of multi-mode of transport air, ocean and road from Malaysia to neighbour country. They also provided service warehousing, container, lost cargo, clearance and insurance. 

    Their company's goal is to expand their market until their service be known globally. Flexi doesn't do any social media promotion. The way to contact them is to call directly or email them or Flexi Company will meet customer personally.
